The role
Balich Wonder Studio is looking for an Operation & Production Directors Admin Assistant in our Production department in AlUla Unit to be part of the AlUla Season 2023/2024 from September 2023 to April 2024.
The Operation & Production Director Admin Assistant is responsible for supporting the Operation & Production Director in all day-to-day activities, while ensuring the effective time management and administrative activities of the Production Operation Function.
Key Responsibilities:
• Assist in preparation of reports, presentations, and charts for senior management regarding Operation & Production performance, trends, and forecasts
• Calendar and Meeting Management
• Prepare correspondence such as memos, letters, minutes of meetings, general correspondence
• Liaise with logistic collecting and transferring the needed information related the travel arrangements for production and operation teams and suppliers
• Prepare expense reports when necessary
• Provide administrative support and office administration tasks such as telephone coverage, copying, mail, etc.
• Complete special projects and tasks as assigned
• Dealing with external correspondence, collating information and monitoring open issues
• Scheduling and circulate staff rotas
• Tracking internal information flows
Requirements
• Three plus years within the executive secretariat environment.
• Event experience in the Middle East will be considered a plus
• Excellent communication and motivation skills
• Superior organisational skills
• Strong work ethic and willing to work long and unsocial hours as necessary
• A bachelors degree in Management, Operations Management or related field
• Ability to work well under pressure and meet tight deadlines
• Strong computer skills, including MSOffice and production management software
• Arabic speaker is a plus
