Job Description

ITP Media Group reaches an audience of more than 104.6 million people across the Middle East and beyond through its leading websites, portals, social media platforms, events, conferences, award ceremonies, magazines, books and social media influencers agency. 

We are looking for a professional, diligent and proactive travel and admin coordinator who delivers exceptional and memorable service to all employees. The ideal candidate will be able to work in a fast paced environment and ensure the smooth running of our company’s travel department.  



Requirements

Key Objectives:

  • Arranging flight and hotel booking requests for staff and external visitors
  • Keep updated with travel restrictions and visa required for all nationalities and destinations
  • Work closely with the company’s travel agency ensure they are meeting their KPI’s
  • Issue tickets promptly and without delay
  • Chase internal staff for necessary approvals to ensure there are no postponements for travel arrangements
  • Raising LPO’s and issuing PO’s, along with the allocation of travel invoices
  • Maintaining records for all travels requests
  • Ensure complaints for hotels or airlines are managed and feedback to the relevant parties
  • Refunding of unused tickets and credit notes for travel agents
  • Be available out of hours for any issues 
  • Support the team with administration and researching tasks
  • Cover reception team during planned absences and sickness
  • Offer initiatives for improvement in the procedures and service

 

Responsibilities:

  • Accountable for the completion of standard or non-standard tasks within own area
  • Acts as part of a team to delivers activities which support operational objectives
  • Manages a variety of tasks and is able to plan accordingly within the short-term
  • Makes decisions within parameters set by manager, using job/specialist experience
  • Maybe subject to regular local supervision of progress against results and escalates issues when required
  • Interacts with stakeholders around specific work efforts and deliverables

 

 

Required Profile:

  • Accountable for the completion of standard or non-standard tasks within own area
  • Previous experience in an travel coordinator / administrative role for a period of two years or
  • Computer skills – Word, Excel, Project and Outlook
  • Strong level of spoken and written English
