Job Description

ITP Media Group (ITP) is one of the largest media companies in the Middle East, with a portfolio of more than 80 brands. The company delivers quality up to date content to its readers, viewers, delegates and guests through digital, print, events, awards, video content, social media platforms and social media influencers.  These brands include major international and regional names such as Time Out, Arabian Business, Harper’s Bazaar, Construction Week, Esquire, GQ & several other brands.

As a Receptionist, you will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

Responsibilities


  1. Greet and welcome guests as soon as they arrive at the office.
  1. Direct visitors to the appropriate person and office.
  1. Answer, screen and forward incoming phone calls.
  1. Ensure the reception area is tidy and presentable, with all necessary stationery and material.
  1. Provide accurate information in-person and via phone/email.
  1. Receive, sort and distribute daily mail/deliveries.
  1. Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  1. Order front office supplies and keep inventory of stock.
  1. Update calendars and schedule meetings.
  1. Arrange travel and accommodation for staff.
  1. Keep updated records of office expenses and costs.
  1. Raising purchase orders.
  1. Liaise with different suppliers and contractors.
  1. Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
  2. Ensure high standards of customer service are met and continually exceeded.


Requirements

  1. Advanced English and Arabic language.
  1. Proven work experience as a Receptionist, Front Office Representative or similar role.
  1. Proficiency in using office software, MS Excel, MS PowerPoint, spreadsheet, and presentation applications.
  1. Familiarity with office equipment, such as printers, scanners and telephone. 
  1. Professional attitude and appearance.
  1. Excellent verbal and written communication skills.  
  1. Ability to be resourceful and proactive when issues arise.
  1. Understanding of cultural sensitivity and awareness.
  1. High standards of customer service.
  1. Multitasking and time-management skills, with the ability to prioritize tasks
  2. High school degree; additional certification in Office Management is a plus.
