Our client, a well-ranked Education Centre in Dubai with accreditation by major accreditation bodies with successful partnerships with public and private sectors through their Talent Programmes in the UAE is now hiring for the position of a Programmes Operation Manager for their Dubai based centre.
A hands-on role that requires proactive management, planning and clear communication skills at all levels both internally and externally; an ideal candidate will have a successful proven track of developing, implementing and monitoring administrative systems and procedures.
Reporting to the Centre Director, you will manage and lead a team of Programme Administrators and Advisors to effectively counsel and support learners through the Centres programs. You will be the main point of contact with local regulator (s) for all regulation and compliance matters and will be responsible for all required submissions relating to programmes registration and quality assurance reviews. Additionally, you will be expected to undertake general management duties and responsibilities in support of all programmes as well as Social Responsibility initiatives and various engagement activities with key stakeholders.
Key Responsibilities to include:
Manage all aspects of the admissions cycle (enrollment to graduation)
Manage new and current registration procedures
Ensure there is a clear process for dealing with complaints, appeals and mitigating circumstances
Timely responses and an escalation process to ensure issues and queries are dealt with in a professional and efficient manner
Liaise with the Support and Events Manager in the UK regarding, rules and regulations, updates and any specific programme administration issues
Act as the main point of contact for staff to clarify and interpret policies and regulations and to circulate important information/updates as and when required
Oversee all aspects of induction, workshops and Graduation
Responsible for workshop scheduling for the Middle East centre
Develop effective processes for learners to improve retention and enhance experiences
Liaise with the accounts department for updating the current status of learners and assist in debtors chase
Secure appropriate sponsorships for the Annual Meets and Gala dinner
Ensure satisfactory completion and update of necessary documentation and records pertaining to programme accreditation and licensing with the local authorities (eg. KHDA, TECOM, MoHE) to comply with the requirements of the regulations
Assist with forecasting based on budget requirements and pupil numbers related to workshops, inductions and graduations
Management Duties:
Management of the support team including holidays, working hours and sickness monitoring and induction and training of new staff
Conduct annual PDRs
Provide management information, including recommendations for actions
Compiling agendas, arranging and attending meetings, drafting minutes and reports
Actively contribute to the development of programme administration and attend meetings and working parties as appropriate
Represent the ME Centre as part of the management team as and when required
Travel to attend events, exhibitions and related meetings and training within the Middle East region and overseas
Manage centre events and planning for visits of delegations from the Centre along with team leaders
Requirements
Essential Skills and Experience:
Have a good standard of education preferably to degree level and a minimum of three years relevant experience of working in higher education
Experience in managing or supervising staff
Experience in delivering excellent customer service/support with a high level of accuracy and attention to detail
Experience in using information technology to deliver improvements in administrative and information systems
Commitment to developing management skills and undertaking other relevant professional development
Confident, professional, flexible attitude and approach to work
