Our client is a well-established trading organization and we are recruiting a UAE experienced secretary to join their Dubai head office.
The role will provide secretarial support to the Managing Director and manage all office administration.
Candidates must be currently working in a similar role as secretary / office administration role in Dubai for a minimum of 2 years.
Responsibilities
Diary management and organize internal and external meetings and events.
Extensive travel arrangements – flight, accommodation and transportation bookings.
Respond to emails on behalf of the MD; prepare letters and documents such as presentations and reports.
Take minutes of meetings, circulate and follow up tasks with relevant stakeholders.
Manage contract renewals for property and vehicles – must be familiar with Dubai RERA and RTA regulations.
Client and supplier relationship management
Meet and greet visitors.
Assist with employee hiring, immigration and visa matters.
Mandatory Skills & Experience Required
5+ years’ Dubai experience as an executive level secretary or administrator to an MD, CEO or senior director preferably within the trading industry.
Ability to manage multiple tasks effectively and take the initiative to investigate and resolve issues appropriately and promptly.
Ability to maintain a high level of professionalism and discretion when dealing with confidential information.
Client relationship management with the ability to interact at all levels.
Advanced skills in Excel and PowerPoint.
