Position Summary:

We are seeking a highly organized and detail-oriented Female Executive Assistant to the Chairman for one of our prestigious real estate client in Dubai.The Executive Assistant to the Chairman plays a crucial role in managing the daily corporate-related activities of the Chairman, ensuring that operations run smoothly and that the Chairman can focus on strategic decision-making. Here are the primary responsibilities associated with this role.The Executive Assistant will play a vital role in managing the Chairman's daily corporate activities, ensuring smooth operations, and enabling the Chairman to focus on strategic decision-making. This role is crucial in providing high-level administrative support, managing corporate tasks, and ensuring seamless office operations. The Executive Assistant will also act as a key point of contact and facilitator of communication between the Chairman and various internal and external stakeholders.

Key Responsibilities:

  1. Calendar Management:

    • Efficiently manage the Chairman’s calendar, scheduling meetings, appointments, and travel arrangements to optimize productivity.
    • Communicate schedule changes promptly and ensure the Chairman is well-prepared for all engagements.
  2. Meeting Coordination:

    • Organize, attend, and coordinate all meetings for the Chairman, ensuring proper logistics, including venue arrangements and required materials.
    • Prepare meeting agendas, take minutes, and follow up on action items to ensure timely completion.
  3. Communication Management:

    • Handle incoming correspondence, such as emails, phone calls, and messages, prioritizing urgent matters for the Chairman’s attention.
    • Draft and edit communications on behalf of the Chairman, ensuring professionalism and clarity in all interactions.
  4. Document Management:

    • Prepare and format reports, presentations, and other documents for meetings, ensuring accuracy and adherence to company standards.
    • Maintain organized files, records, and databases for efficient information retrieval.
  5. Project Support:

    • Assist the Chairman with various projects by coordinating necessary information, tracking progress, and ensuring deadlines are met.
    • Conduct research and compile relevant data to support decision-making and reporting.
  6. Travel Arrangements:

    • Arrange business travel itineraries for the Chairman, including transportation, accommodation, and meeting schedules for both domestic and international trips.
    • Prepare comprehensive travel briefings, including itineraries, contact details, and necessary documents.
  7. Confidentiality and Professionalism:

    • Maintain confidentiality regarding sensitive personal and professional matters of the Chairman.
    • Represent the Chairman and the organization with professionalism, ensuring the company’s reputation is upheld in all interactions.

Requirements

Qualifications:

Experience:

  • Proven experience as an Executive Assistant or in a similar administrative role, supporting high-level executives or senior management.

Education:

  • A Bachelor’s degree in Business Administration, Management, or a related field is preferred.

Skills:

  • Exceptional organizational and time management abilities.
  • Strong verbal and written communication skills.
  • Proficiency in office software (e.g., Microsoft Office Suite) and calendar management tools.
  • Excellent command of English, with proficiency in Arabic and possibly French being an advantage.

Attributes:

  • Ability to work effectively under pressure while managing multiple priorities.

Working Conditions:
