Job Description

Key Responsibilities:

1. Document & Correspondence Management:

  • Register all incoming and outgoing letters, ensuring accurate documentation and tracking.
  • Prepare various types of correspondence, including technical letters, official memos, and reports.
  • Notify relevant personnel of incoming letters and ensure timely action.
  • Maintain and update the letter register, ensuring clear and organized records of all correspondence.
  • Ensure compliance with company policies and document control procedures.

2. Archiving & Records Management:

  • Organize and maintain a structured archive system for easy document retrieval.
  • Ensure that both physical and digital records are properly stored and updated.
  • Assist the design department in archiving relevant project documents and drawings.
  • Implement and improve document management processes to enhance efficiency.

3. Director Assistance:

  • Assist and report directly to the directors providing support in document-related tasks.
  • Manage and track important correspondence, reports, and confidential files as required.
  • Act as a liaison between the General Manager and various departments, ensuring smooth communication.

 

4. Language Support:

  •  Provide assistance in Arabic-English translations when needed, particularly for official or technical documents.
  •  Ensure the accuracy of translated documents and support communication with English-speaking counterparts.


Requirements


 Qualifications & Skills:
  • 5+ years of experience in document control, archiving, or a similar role.
  • Fluency in English (spoken and written) is mandatory.
  • Strong knowledge of document control systems, archiving procedures, and office administration.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and document management software.
  • Experience in handling technical correspondence is an advantage.
  • Excellent organizational, communication, and time-management skills.
  • Ability to work independently and maintain confidentiality.

Preferred Qualifications:

  • Prior experience in construction, engineering, or design-related industries.
  • Knowledge of ISO standards for document control and archiving best practices.
