Job Description

Objectives of this Role

 

The Administrative Assistant will be responsible to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include but are not limited to providing support to HR Department, assisting in daily operational needs, and managing our company’s general administrative duties.

 

Responsibilities:

 

·       Handle the switchboard by answering the telephone, screening, and directing the calls.

·       Monitor visitors and calls received daily and provide a summary report to each department on a weekly basis.

·       Receives and sort out mail, parcel, and any deliveries.

·       Provides general administrative support (preparation of documents, filing, scanning).

·       Handles petty cash.

·       Makes travel arrangements, hotel, tourist visa, flight, car rentals, and restaurant reservations for the management as required.

·       Keeps the office clean and tidy (meeting room, pantry area, guest’ washroom).

·       Maintenance and watering of plants are done (once a week).

·       Monitor the services provided by the cleaning provider to ensure that the list of tasks is completed daily.

·       Monitor the company’s IT assets.

·       Ensure that Pantry & Stationery supplies are stocked and accounted for. (Printer cartridge, and any other office supplies, coffee, tea, sugar, etc.)

·       Pantry supplies are replenished, arranged, and provided daily. The supplies required for employees must be provided.

·       Prepares tea, coffee, and water for guests.

·       Prepare purchase requisition as required.

·       Coordinate with the maintenance team and ensure issues are fixed immediately.

·       Order food required for company events or CEO if required.

·       Support the onboarding team in coordination (provision and set up of laptops, e-mail accesses, stationery supplies)

·       Other ad hoc jobs as required by the HR Department.

 



Requirements


·       Prior related experience working as an Administrative Assistant.

·       Must have MS Office knowledge (Excel, PowerPoint, Word, Outlook, etc).

·       Must have an initiative.

·       Can-do attitude.

·       Excellent organizational skills.

·       Able to work unsupervised.

·       Great attention to detail.

·       Positive attitude.

·       Trustworthy.

·       UAE Driving license is mandatory.
